JOB DETAIL

We are looking for a bright, articulate, detail-oriented Assistant to Management with outstanding problem-solving and communication skills to support our constant growth. If you are highly motivated and organized then this might just be the job for you. Your job as a Assistant to Management can include everything from helping with time and daily management, scheduling of meetings, correspondence, note-taking, report creating, and offering other clerical duties. You can also expect to answer phone calls, take notes, schedule meetings, and send emails on behalf of your manager as well as organize events.
This role also requires a significant amount of communication and coordination with other staff and departments, including senior-level officials.

Responsibilities

  • Provide assistance to staff, managers, and senior-level officers such as CEO as needed
  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Manage office supplies inventory and place orders as necessary
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
  • Create, prepare, and deliver reports to various departments
  • Receive invoices and review for accuracy
  • Manage travel arrangements and itineraries on behalf of the employer
  • Help organize small to large scale events and provide ongoing assistance during the event

Requirements

  • Proven work experience in Administrative Coordination for C-Level management and CEO
  • Proven ability to maintain confidentiality for sensitive information
  • Excellent verbal and written English and German communication skills, including excellent grammatical, editing, and proofreading skills
  • Highly organized and able to create an organized and easy-to-follow system for others
  • Effective interpersonal skills to interact appropriately with all levels of staff and external contacts
  • Extremely effective communication skills with a talent for operating across different levels of an organization
  • Hands-on experience with MS Office Suite and Google Workspace
  • A valid passport and the ability to travel domestically and occasionally internationally
  • A valid driver’s license and ability to drive domestically and occasionally internationally
